The Administrative Legal Secretary provides professional legal and administrative support to the Health Sciences Center (HSC) Office of the General Counsel:

Serves as legal support to three (3) HSC Associate General Counsel, along with an Administrative Legal Assistant, to assist the attorneys with their responsibilities: Acts as the liaison between the HSC Associate General Counsel and departmental administrators, physicians, and external constituents. Responsible for the calendar management and associated logistics for three (3) HSC Associate General Counsel. Assists with creation, drafting, and editing correspondence, contracts/agreements, pleadings, presentations, and spreadsheets. Assists with maintenance of contract repository. Manages incoming phone calls, e-mails, facsimiles and handle messages accurately. Responds to inquiries and requests for assistance.

Serves as administrative support to three (3) HSC Associate General Counsel, along with an Administrative Legal Assistant, to assist the attorneys with their responsibilities: Opens, scans and distributes mail. Orders supplies, office equipment, and software using a Tulane Purchasing Card. Reconciles P-card statements. Reviews and processes invoices through SciQuest eProcurement. Prepares electronic interdepartmental requests, Sends, receives, distributes, and electronically files facsimiles, e-mails, correspondence, etc. Makes travel arrangements, prepares itineraries, and requests reimbursement for travel-related expenses in Concur; Handles CLE registrations; Ensures administrative files are maintained properly in Imanage. Maintains confidential information and files; Serves as onsite liaison with facilities management.
Required Knowledge, Skills, and Abilities

Proficiency in various standardized software including Microsoft Office 365 (Word, Excel, Outlook, Power Point) and Adobe Acrobat. Ability to produce professional quality reports and presentations required.

Ability to interact with individuals, both internal and external to the organization, in a pleasant and effective manner required; Ability to interact professionally and courteously.

Excellent analytical ability, attention to detail, the ability to organize and prioritize work, and the ability to meet established or anticipated deadlines.
Required Education and/or Experience

High school diploma or equivalent.

A minimum of two years administrative legal support experience.
Preferred Qualifications

Knowledge of Imanage (document management software), Concur (accounting software), SciQuest eProcurement (accounting software)
